The Spare Parts Customer Support Specialist is the single point of contact for our clients in the EMEA and APAC region regarding their spare parts orders. The role involves the processing of client orders within our internal order application and our company’s ERP SAP. The role also involves active communication with both internal stakeholders (the Spare Parts Inventory Planner, the Sales Support Team for products, the Sales Managers for the EMEA and APAC territories and the operations personnel in our European distribution centre) as well as with external parties (our clients).
Tasks and responsibilities:
- Order entry of new spare parts orders from our internal application
- Providing a summary monthly report to each client about the status of their orders as well as providing on-demand information about particular orders or shipments, when asked by clients
- Providing shipping documents to clients and facilitating between the clients and the warehouse operatives to ensure shipments are packed and shipped out on time
- Issuing and sending out invoices, packing lists and other necessary documents regarding processed orders and pending shipments
- Coordinating with the finance team to confirm the order payment status prior to shipment of spare parts
- Extracting reports and providing information about spare part stock availability and expected deliveries
• Releasing orders to the warehouse to be picked and packed and collaborating with warehouse operatives on meeting deadlines for the process.
Requirements
- Strong English skills (80% of communication is in writing / 20% is verbal)
- Strong attention to detail to ensure the accurate processing of client orders
- Flexibility and communication skills to work with the numerous internal stakeholders
- Any experience in working with clients in an international environment will considered as an advantage
