As a PMO Specialist you will be responsible for project oversight and reporting and Change Requests that occur throughout a customer onboarding project, and providing support to the wider Onboarding and PMO team on project delivery.

Responsibilities:

  • Reporting
    • Dashboard reporting on key project information and metrics
    • Weekly management reporting as needed (status, utilisation etc.) to facilitate decision making at senior level
    • Maintain overall project data (contracted and incoming) to resourcing and prioritisation of new projects
  • Monitoring adherence to project standards e.g. accurate status reporting, time- keeping, risk and issue management
  • Ensuring adherence to the Project Change Control Process
  • Support as needed on Change Board activities
  • Liaise with key internal stakeholders as needed, comms and updates on decisions
  • Support for Immedis Onboarding Methodology in maintaining project plan templates and assigning appropriate plan template to new projects
  • Support and Admin of key project management tools used for plans, reporting and project data (Celoxis)
  • Build and maintain a knowledge repository of project and change management tools and process documentation, templates for baseline Risks and Assumptions, project decks.
  • Support with Project setup tasks/shell plans for all new projects.
  • Any other PMO support as needed by the Onboarding Leadership.

Requirements

  • Entry level position would suit someone coming directly from University or with adminstraton experience
  • Excellent administrative, organisational and business support skills
  • Mastery of Microsoft Office tools
  • Excellent English, both written and verbally
  • Excellent attention to detail, time amp; workload management skills
  • Strong interpersonal skills, with the ability to work in diverse teams.

Desired Skills / Core Competencies

  • A process-oriented mind-set; an ability to design new structures and processes for new administrative tasks, as well as an ability to build and maintain routines for ongoing operational practices and procedures
  • Understanding of project and change management and/or relevant frameworks
  • Mature approach to handling challenge at senior to junior stakeholder level
  • Strategic thinking, analysis, planning amp; scheduling applied to all aspects of the role
  • Critical thinking skills and the ability to exercise good judgment and solve problems quickly and effectively
  • Ability to work remotely with minimal direction and ability to take ownership of issues and having determination to follow things through
  • An aptitude for working on new systems
  • Power BI, or experience with project portfolio management tools- an advantage but not required.
